Book airfare through one of the University’s preferred airline suppliers to take advantage of Penn-negotiated discounts and enhanced travel benefits. To be eligible for Penn’s discounted rates, reservations must be made using one of the University’s preferred booking options:
- Concur Online Booking Tool – Access Penn-negotiated airfare and book directly through Concur.
- World Travel, Inc. – Contact World Travel, Inc. for personalized booking assistance.
IMPORTANT: Airfare booked directly through an airline’s website or reservation system is not eligible for Penn-negotiated discounts. Links available on the Preferred Vendors page may still be used to enroll in loyalty programs, check flight status, or review flight schedules.
Best Practice: Use the University Business Travel Account (BTA)
When airfare is booked through Concur or World Travel, Inc., charges are automatically billed to the University’s Business Travel Account (BTA), a centralized account established specifically for airline ticket purchases.
Using the BTA provides several benefits:
- Eliminates out-of-pocket airfare expenses for travelers
- Automatically allocates charges to the department’s account number
- Reduces the need for airfare reimbursement requests and expense reporting
- Streamlines the travel booking and reconciliation process
Using the BTA improves efficiency, supports policy compliance, and simplifies travel administration for both travelers and departments.
